Summary:
Provides day to day administrative support for the Branch Manager and Branch staff.

Core Responsibilities:
• Assist with day to day operations of the Branch (greeting visitors or callers, receiving, sorting and distributing mail, etc.).
• Provide administrative support to the Branch Manager (scheduling meetings/continuing education seminars, travel arrangements, seminar registrations, and ensuring proper arrangements are made, etc.).
• Assist with oversight of the Branch cleaning service, pest control, security, fire safety, etc.
• Assist in preparing project-related correspondence, spreadsheets, and reports.
• Maintain general office equipment. (i.e. printer/copier, postage machine, etc.)
• Utilize and maintain Customer Relationship Management (CRM) software (entering/maintaining client demographics, setting up new project and billing information).
• Assist with accounts payable/accounts receivable (remitting invoices, and recording and sending checks to Finance, making collection calls/sending emails on past due invoices, etc.).
• Assist with coordinating Branch events and special projects (team gatherings, community involvement, etc.).
• Collect new hire paperwork and take new hire photo and forward to Human Resources.
• Provide additional administrative support as needed.

Skills + Knowledge:
• Excellent interpersonal, oral and written communication skills.
• Proficiency in MS Office programs, including Outlook, Word, + Excel. Preferred experience with Deltek (Vision, Vantagepoint, or Professional Services) software.
• Excellent organizational skills with attention to detail, and able to manage multiple tasks concurrently.
• Ability to maintain confidentiality.

Education, Training + Work Experience:
• High School diploma or equivalent is required; Associate degree or better is preferred.
• Three or more years’ experience as an administrative assistant, office manager or similar role.
• Experience in architectural/engineering industry and/or building enclosure industry a plus.

Physical + Environmental Demands:
• Sitting 75% of the time using computer equipment including desktop or laptop computer, keyboard, mouse, etc.
• Walking, standing and/or moving 25% in an office environment.
• Sufficient ability to perform minor lifting (< 50 pounds).
Summary:
Use computer software to design plans for project specifications, assessments, and investigations. Create electronic versions of technical drawings produced by project engineers and managers. Work assignments are varied in nature and of considerable scope and complexity. Work will be performed on multiple projects simultaneously.
Will also work under the direction of project management and according to clear guidelines, provide field support for proposals, specifications, construction administration and assessments. Work includes recording measurements, observing construction work in progress, making and repairing investigative openings in building construction, taking photographs, etc. Work is typically performed on multiple projects simultaneously.

Core Responsibilities:
• Use CADD software to create, modify and process technical drawings from field notes and hand sketches. Communicate with engineers and technicians about the properties of drawings. Work is reviewed by peers or by more experienced staff as a quality procedure. Print, bind and prepare physical copies of drawings.
• Collect field data for use in various aspects of consulting/engineering services, such as proposals, specifications, assessments, and investigations. Field data consists of measurements for roof plans and details. Data collection is done under the direct guidance of a project manager or more senior staff and within clear guidelines.
• Perform monitoring during construction projects to ensure that contractors do work according to specifications provided by engineers. Note discrepancies and report them to engineering project manager or a more senior person for resolution. Document observations in a written report, which is reviewed by a project manager and then distributed to the client, contractor, and other parties.
• Assist with assessments and investigations. Duties may include assembly of testing apparatuses, performing and repairing destructive openings in roofing and wall systems, performing water testing, carrying tools/ladders, and other physical tasks.
• Other responsibilities as assigned.

Skills + Knowledge:
• Full knowledge and understanding of Autodesk® software, concepts, and procedures.
• Working knowledge of materials and installation processes used in construction projects.
• Ability to understand project specifications, drawings, submittals, and other documentation, identify discrepancies between actual construction + project requirements, and articulate these discrepancies both verbally and in written reports.
• Have working knowledge of equipment used in assessments and investigations, including an infrared camera, electrical capacitance meters, water testing units, etc.
• Ability to read, write and speak English fluently. Bilingual (Spanish) a plus.
• (Microsoft) Word processing skills.

Education + Training:
• High School graduate or equivalent. Technical school with an Associate degree in computer-aided drafting/design preferred.
• Formal technical program or equivalent experience.

Work Experience:
• Typically, two (2) or more years in a related field, preferably with a consulting and/or an engineering firm. Formal educational or technical program in a relevant field or relevant certifications may count towards experience.

Physical + Environmental Demands:
• Work in a sitting position in an office environment.
• Sufficient physical ability to perform moderate lifting (approximately 50 pounds maximum).
• Ability to stand or walk for prolonged periods of time.

Plan + perform project management and engineering duties for design, construction administration, assessments, and investigations. Provide work direction to technicians and less experienced colleagues. Work includes engineering calculations + decision-making and is performed on multiple projects simultaneously. Review and seal project specifications for accuracy compliance with State Statutes. Recognize when there are better ways of doing things, research and recommend to the broader organization and participate in implementation.

Core Responsibilities:
• Prepare engineering documents for use in construction activities. In order to prepare documents, collect and analyze field data of existing conditions, complete engineering calculations to determine design parameters and determine the best solutions to resolve existing problems within budget limitations. Calculations and project documents are reviewed for QA/QC but ultimately are the responsibility of the incumbent.
• Perform construction management duties. Duties include conducting initial meetings with contractors to describe the project, obtain pricing from contractors and review to determine relevancy to the project, and make recommendations to the client on the award of the project. Perform construction monitoring during the work to ensure the final product is in compliance with engineered project documents, and coordinate any deficiencies observed with the contractor for resolution. Identify, evaluate and implement potential solutions to resolve conflicts identified during the work.
• Conduct assessments and investigations. Duties include determining the appropriate processes to be used, assembly + operation of testing apparatuses, directing the making and repairing of destructive openings in roofing and wall systems. Prepare documentation describing the existing conditions + deficiencies observed, and provide recommendations for improvements to existing conditions.
• Other responsibilities as assigned.

Skills + Knowledge:
• Have working knowledge of materials and installation processes used in roofing, wall and other enclosure assemblies.
• Have working knowledge of Building Codes and engineering calculations, and use engineering judgment to apply these items to actual field conditions.
• Ability to understand project specifications, submittals, and other documentation, identify discrepancies between actual construction and project requirements, and articulate these discrepancies both verbally and in written reports.
• Ability to operate equipment used in assessments and investigations, including an infrared camera, electrical capacitance meters, water testing units, etc.

Assist in the process of responding to solicitations (SF330, RFQ, etc.) by organizing, compiling, and submitting compliant, professionally produced responses. Work closely with Marketing Director to coordinate project responses, project descriptions, resumes.

Core Responsibilities:
• Coordinate all phases of the proposal process managing all aspects of each proposal, including providing quality assurance prior to final approval.
• Read + analyze RFPs; edit proposal content for readability, consistency, clarity, and compliance with requirements in both RFP and SF330 response formats.
• Coordinate proposal kick-off coordination/meetings and set proposal strategies with Branch Managers, Director of Technical Services + Project Managers.
• Provide word-processing, desktop publishing, and graphic design skills to produce proposal materials (resumes, project profiles) for
qualifications/proposal responses.
• Utilize and maintain Customer Relationship Management (CRM) software (entering/maintaining client demographics, setting up new promotional
projects).
• Maintain organization of proposal materials in the company database.
• Other responsibilities as assigned.

Education, Training and Work Experience:
• Bachelor's Degree or Associate's Degree in marketing, English, journalism, communications, or other related fields.
• Must be proficient with InDesign software.
• Two (2) or more years of related experience in RFP/proposal management from conception to completion, desired.
• Marketing or business experience preferred.
• Experience in architectural/engineering industry and/or building envelope industry preferred.

Physical and Environmental Demands:
• Ability to safely operate a motor vehicle, and at times, hand-deliver responses to clients.
